Terms & Conditions for Coaching Services
Professional Leadership Coaching
1. Introduction
These Terms and Conditions govern the coaching services provided by Professional Leadership Coaching, operated by Karla Taylor, a UK based professional, executive and leadership coaching practice. By booking or attending coaching sessions, you agree to these Terms and Conditions.

2. Description of Services
Professional Leadership Coaching provides professional, executive and leadership coaching designed to support personal and organisational development. Coaching may involve reflection, goal‑setting, behavioural exploration, challenge, and accountability.
Coaching is not therapy, counselling, mentoring, consulting, or legal/financial advice. No diagnosis or treatment of mental health conditions is provided. Clients remain responsible for their own decisions, actions and outcomes.
Services may be delivered online, by phone, or in person, depending on agreement.
3. Professional Standards and Ethics
Coaching is delivered with reasonable skill and care and in alignment with the EMCC Global Code of Ethics. Regular supervision is maintained to ensure safe, ethical and reflective practice. Themes may be discussed in supervision, but clients are never identifiable.
4. Client Responsibilities
Clients agree to:

Attend sessions on time

Engage openly and honestly

Take responsibility for their own decisions and actions

Inform the coach of any accessibility needs

Use coaching ethically and appropriately
Coaching is most effective when clients commit to their own development and follow through on agreed actions.
5. Fees and Payment

All coaching sessions and packages must be paid in advance.

Fees will be confirmed in writing before coaching begins.

Accepted payment methods include debit card, credit card and PayPal.

Invoices must be paid within 7 days of issue.
Failure to pay may result in sessions being paused or cancelled.
6. Cancellation and Rescheduling
To protect both parties’ time, the following policy applies:

Sessions cancelled with less than 24 hours’ notice may be charged in full.

Sessions can be rescheduled without charge, if done with at least 24 hours’ notice.

If you miss a session, you may reschedule it, subject to availability, instead of losing it, as long as the required noticed has been provided.

If I need to cancel a session, I will give as much notice as possible and offer an alternative time. If a suitable alternative cannot be arranged, I will provide a full refund, minus any discounts applied when the sessions were purchased.
Refunds for Packages

Refunds for prepaid packages will be calculated based on the number of sessions already used.

Any unused sessions may be refunded at my discretion, minus administrative fees, and/or any discounts applied when the package was purchased. This ensures fairness while recognising the reduced rate offered for package bookings.
7. Confidentiality
All coaching conversations are confidential. Information will not be shared with third parties unless:

You give explicit consent

I am required to do so by law

There is a risk of serious harm to you or others
Confidentiality applies to all session content, notes and communications.
8. Data Protection and Privacy
Professional Leadership Coaching complies with the UK GDPR and the Data Protection Act 2018. Personal information is collected and processed only as necessary for coaching and business administration.

9. Session Notes and Record Keeping

Brief coaching notes are kept to support the coaching process.

Notes are stored securely and kept separate from organisational HR files, where relevant.
Retention periods:

Coaching notes: kept for up to 12 months after coaching ends

Contact details and financial records: kept for up to 6 years for tax and accounting purposes
After these periods, data is securely deleted.
10. Liability
Coaching supports personal and professional development, but outcomes cannot be guaranteed. You remain responsible for your own decisions, actions and results.
To the fullest extent permitted by law:

I am not liable for any indirect, incidental or consequential loss

My total liability is limited to the amount paid for the coaching services in question
Nothing in these Terms limits liability for fraud or for matters that cannot be excluded under UK law.
11. Termination of Coaching
Either party may end the coaching relationship at any time, as long as the relevant notice is provided.
If you choose to end coaching:

Refunds for prepaid packages will be calculated based on sessions used

Any unused sessions may be refunded at my discretion, minus administrative fees or package discounts
If I choose to end coaching:

I will provide a clear explanation

Any unused prepaid sessions will be refunded in full, minus any discount received when booking the sessions.
12. Complaints
If you are dissatisfied with any aspect of the service, please contact me directly so I can address the issue promptly and professionally.
You also have the right to raise concerns with the Information Commissioner’s Office (ICO) regarding data protection matters.
13. Governing Law
These Terms and Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
14. Changes to These Terms
These Terms and Conditions may be updated from time to time. The version published on this website at the time of booking will apply to your coaching agreement.
